How customer memberships and discounts work.

Updated 7 Nov 2026

Wagday supports customer memberships that grant percentage discounts on specific services. When a customer has an active membership, their booked services (if covered by the membership plan) automatically receive the membership discount.

Setting up plans

Owners and admins manage plans under Catalog > Memberships. A plan has a name, a price, how often it bills (weekly, monthly or yearly), the member discount, and the services it covers. Leave every service box clear to cover them all. You can also let staff pause members on the plan, with the notice a pause needs.

Paid plans bill through your connected Stripe or Square account, so connect one under Settings > Payment Setup first. Turning a plan off stops new members joining; existing members keep it until they cancel. A plan that still has members can't be deleted.

Adding a customer to a plan

On the customer's profile, open the Billing tab. Owners and admins see Add membership on the Memberships card when the customer has none. Choose the plan. A free plan is added straight away with Add to plan.

A paid membership charges the customer's saved card today and then every week, month or year until it's cancelled, so the customer authorises those charges first. They read the membership terms (the price, how often it's charged, what they get, and how cancelling and pausing work), tick the authorisation and tap Join membership. They can do this in one of two ways:

  • At the desk. Choose Customer authorises here and hand the device to the customer. The customer needs a saved card for this.
  • From a link. Choose Send join link. Wagday emails the customer a link to their customer portal, and shows you the link so you can copy it and send it another way, for example when the customer has no email address. The customer signs in, reads the terms and joins. If they have no saved card yet, the portal asks them to save one first. A link stays open for 7 days, and sending a new one replaces it. Nothing is charged until the customer joins.

A membership is charged only to the card the customer saved themselves under Payment methods in the customer portal, the same card that's charged for fees (see The customer's card authorisation). A card saved before card authorisations were introduced, or one on your previous payment account, doesn't count, so the customer saves their card again first.

The authorisation the customer gave is kept with their membership. Open Agreed wording on the Memberships card to see when and how they gave it, and the exact terms they agreed to.

The authorisation customers give when they save a card covers only late-cancellation and no-show fees and extras during a stay, so it can't stand in for a membership authorisation.

  • One membership at a time. A customer can't join a second plan while one is still billing, including one whose last payment failed. Cancel it first.
  • Discounts start with new bookings. Bookings already made and paid keep their price.

Pausing and cancelling

On a plan that allows pauses, owners and admins can Pause a membership from a date at least the plan's notice ahead. While paused, the member isn't billed and gets no discount. Resume now ends a pause early, and Cancel pause withdraws one that hasn't started.

Cancel stops the membership at the end of the period the customer has already paid for, with no partial refund. The discount keeps applying until then. Other staff can see a customer's membership and any pause, but only owners and admins can change them.

How Discounts Apply

  • Automatic at Booking: The discount is applied automatically when a customer books a covered service via the customer portal, or when staff create a booking for them.
  • Better Discount Wins: If a customer is eligible for both a membership discount and a customer-type discount (e.g., VIP or Staff), Wagday will apply the single best discount. Discounts are never stacked.
  • Service Coverage: Discounts only apply to services explicitly covered by the membership plan. Other services in the same booking will be charged at their normal rate.
  • Active Status Required: Discounts stop applying when a lapse or cancellation is detected (following the provider webhook flipping the status away from ACTIVE). This only affects new bookings; existing paid bookings are never repriced.
  • Tax Inclusive: The discount is applied to the tax-inclusive price. The final GST or tax component is derived correctly from the final discounted total.

Viewing Discounts

When creating a booking, the staff wizard and the customer portal both display a detailed price preview. This preview breaks down the subtotal and explicitly shows the discount source (e.g., "Gold Member discount (10%)" or "Loyalty discount (5%)") so you always know why a price was reduced. The member price and saving are visible before confirming (portal preview, wizard price bar, review-payment step, confirmation screen).

Membership charges and refunds

Each successful membership charge gets an invoice marked paid, which the customer is emailed as their receipt. If a charge is refunded, in Wagday or in your Stripe or Square dashboard, Wagday records a credit note for exactly the refunded amount against that charge's invoice and emails the customer a refund confirmation naming the invoice. A partial refund credits only its part, and the credit never exceeds the invoice total. If you use Xero, the credit note syncs against the invoice, as a booking refund's does.
