Using the WagDay Staff app
Check pets in and out, record care, add photos, log incidents and work through alerts from the WagDay Staff app on a phone or tablet.
The WagDay Staff app is for the floor: the front desk, the play yard and the kennels. It shows the day's arrivals, pets on site and pick-ups. It also records feeding and medication, takes photos and incident reports, and collects the alerts that need someone's attention. Anything you do in the app shows on the dashboard straight away, and the other way round.
It runs on iPhone, iPad and Android phones and tablets. On a tablet held sideways, lists show the chosen booking, alert or pet beside them, so you can work without going back and forth.
- Open the app and enter your work email and password: the same ones you use for the WagDay dashboard.
- If WagDay asks, enter the code it emails you.
- If you work for more than one organisation, choose the one you're working for today. You can change it later in Settings → Organisation.
If your facility shares devices, the app may lock itself after a few minutes idle. See Shared devices and the staff app lock.
Choose a facility
If your organisation has more than one location, tap the facility name at the top of the screen, or go to Settings → Facility. Choose a location to see only its day, or All facilities to see every location together. Your role is the same at every location.
The tabs
| Tab | What it's for |
|---|---|
| Today | The day's arrivals, pets on site and pick-ups, with care due now. |
| Care | Feeding and medication rounds for pets on site. |
| Scan | The camera, for a booking QR code or a pet's collar tag. |
| Alerts | Things that need attention, bookings waiting for approval and customers' requests. |
| Settings | Facility, alerts on this device, unsent work, help and sign out. |
The magnifying glass at the top right of every tab finds a pet or owner by name.
Today
Today opens on the facility's day, with four tiles across the top:
- Due in: pets arriving today and not yet checked in.
- On site: pets checked in now.
- Due out: pets going home today.
- Care: feeding and medication due now.
Tap a tile to show its list. Due in and Due out are grouped under each booked time, earliest first. Each time says how it stands: Late (more than 15 minutes past), Due now (within 15 minutes) or how long to go, such as in 40 min.
Each row shows the pet's photo, the owner, and icons for anything to know before you take the lead:
| Icon | Meaning |
|---|---|
| Bowl | A feeding schedule |
| Pill | Medication |
| Hand and heart | Special needs |
| Shield | A dangerous animal |
| Dollar | Money owing |
| New | The pet's first visit |
Type in Filter by pet or owner to narrow the list. Use the arrows or tap the date to see another day, and Week or Month to see how busy the coming days are. Bookings waiting for approval show under Waiting for approval. Tap one to open it.
Check a pet in
There are three ways to check a pet in:
- From Today: on the Due in list, tap the round tick beside the pet.
- From the booking: tap the pet's row to open the booking, then tap Check in.
- By scanning: open the Scan tab, point the camera at the booking QR code or the pet's collar tag, and tap Check in. Then tap Scan another for the next dog. See QR code check-in and check-out.
If the pet can't be checked in yet, the booking says why: for example, a deposit is still owing or a vaccination has run out. If your role allows it, tap Allow check-in today (defer payment) to take the payment at pick-up instead.
No camera handy? On the Scan tab, tap Type a code or search and enter the booking's ten-character code, or search by pet or owner name.
Check a pet out
On the Due out list, tap the round button beside the pet, or open the booking and tap Check out. The app asks you to confirm first, so a pet isn't sent home by mistake.
Record feeding and medication
The Care tab lists every feeding and medication task for pets on site, grouped by time, with overdue tasks marked Overdue.
- Tap Done when the task is done.
- Tap Skip if it didn't happen, and choose why: Refused it, Not needed, Given by the owner, Pet unwell, Out of supply or Other.
- Tap Flag if something needs a manager's eye, such as a Bad reaction or Not sure.
Use To do and Done at the top to switch between what's left and what's recorded. On Today, the Care tile shows the tasks due right now, and Open care rounds takes you to the full list. Care needs a connection, so the buttons wait while you're offline.
Add a photo to a booking
- Open the booking and tap Photo. From the Scan tab, tap More options → Add a photo or video.
- Take the photo or video, or choose one from the device.
- Add a caption if you like.
- Turn on Share with owner only if the owner should see it in their app. Otherwise it stays staff-only until a manager shares it from the dashboard.
Photos upload in the background, so you can carry on working. Anything still uploading is listed under Settings → Waiting to send.
Log an incident
- Open the booking and tap Incident, or tap Report an incident on the pet's profile.
- Describe What happened, and the Actions taken: first aid, who you told.
- Choose How serious was it? (Minor, Moderate or Serious) and What kind of incident? (Injury, Illness, Behaviour, Escape, Medication, Facility or Other).
- Turn on A vet visit is needed if so, and add up to ten photos.
- Tap Send report.
The report is saved on the device as you type, so nothing is lost if you're interrupted or offline. Unfinished reports are kept under Settings → Waiting to send → Drafts. Once the report is sent, a manager reviews it and can tell the owner from the incident screen. See Incidents and the Issues inbox.
Report card notes
For a pet on site, open the booking and tap Report card. Add notes on Meals, Rest time and Play time, or, if WagDay AI is on for your organisation, tap Draft with WagDay AI to turn them into a friendly note you check before it's used. The report card is finished and sent from the dashboard. See Postcards, report cards and photos.
Pets and owners
Tap Pet profile on a booking, or find the pet with the magnifying glass. The pet's page shows its care card, the owner, vaccinations and past incidents. From there you can:
- Make a New booking for the pet.
- Report an incident if the pet is booked today.
- Edit care details, such as feeding, medication and handling notes.
- As a manager, Approve or Reject a vaccination certificate waiting for review. The owner is told either way.
Tap the owner's name to see their contact details, emergency contact, pets and bookings, and to call or email them.
Alerts
The Alerts tab has three filters across the top, each with a count:
- Alerts: incidents, missed arrivals and pick-ups, payment problems, vaccinations and other notices, newest first under the hour they arrived. A run of identical alerts shows the newest with N more like this. Tap Show to see them all and Hide to fold them away. Tap an alert to open the booking, incident or pet it's about.
- Approvals: bookings waiting for approval. Open one to approve or decline it. Tapping an approvals digest alert takes you here.
- Requests: customers' cancellation and change requests, for staff who can review bookings. Tap Approve or Decline on each.
Mark all read clears the unread count. To choose which alerts reach this device, go to Settings → Alerts on this device.
Working offline
The app keeps the last copy of Today and the care list, and says how old it is when it can't refresh. Photos, incident reports and owner notices wait on the device and send when it's back online. Settings → Waiting to send shows what's still to go. Check-in, check-out and care rounds need a connection, so they wait until you're back online.
Ask WagDay AI
Go to Settings → Ask WagDay AI to ask how to do something, such as "How do I check a pet in?". Answers come only from these help guides and link the guide they used. It doesn't look at your bookings, so leave customer and pet names out.
Sign out
Settings → Sign out signs you out of this device. If anything is still waiting to send, the app tells you how many items and that signing out deletes them.
What's next?
- Shared devices and the staff app lock: lock shared phones and tablets when idle.
- QR code check-in and check-out: print collar tags and scan dogs in.
