Integrations: Xero, webhooks and API keys
Connect Xero for accounting sync, see your webhook endpoints, and issue API keys for programmatic access — all from one page.
The Integrations page under Settings is where your WagDay organisation talks to other systems. Only Admins can open it.
Xero
The Xero card syncs paid invoices and payment reconciliation between WagDay and Xero. It shows a Connected / Not connected badge, the name of the Xero organisation you're connected to, when you connected, when the token expires, and when the last sync ran.
To connect:
- Click Connect Xero — you're sent to Xero to authorise WagDay.
- Authorise the connection. You land back on the Integrations page with a confirmation message naming the Xero organisation you connected to.
WagDay only ever connects when your Xero login resolves to exactly one Xero organisation, and the confirmation message tells you which one it bound. If it's the wrong one, click Disconnect and reconnect with the correct Xero login.
Connection safeguards
WagDay refuses to change your Xero connection rather than guess, and explains why on the Integrations page:
- Multiple Xero organisations found. Your Xero login can access more than one Xero organisation, so WagDay connected none of them (an existing connection is left unchanged). Remove the WagDay app from the Xero organisations you don't use under Xero Settings → Connected apps, then try connecting again.
- Different Xero organisation than your current connection. You're reconnecting with a Xero login that resolves to a different Xero organisation. Disconnect first, then reconnect with the intended Xero login.
- Already connected to another WagDay organisation. A Xero organisation can only be linked to one WagDay organisation at a time. Disconnect it from the other WagDay organisation first, or use a different Xero login.
Once connected:
- Sync now pushes invoices and payments to Xero on demand and reports how many of each synced, plus any errors.
- Credit notes sync to Xero as well.
- An account-mapping section lets you choose the Xero accounts used for payments, sales and tax.
- Activity flows back the other way too: WagDay verifies incoming Xero webhooks and reconciles invoice and payment status from them.
- Disconnect breaks the connection.
The reconsent banner
If you connected Xero some time ago you may see an amber "Reconnect Xero to update permissions" notice. Xero is replacing broad API permissions with more specific ones; reconnect to keep your accounting sync working past September 2027. Your current connection keeps working in the meantime — click Reconnect Xero when it suits.
Mailchimp
The Mailchimp card shows whether a Mailchimp audience is connected, the audience ID, and when it last synced.
Webhooks
The Webhooks card shows how many active webhook endpoints your organisation has for external integrations.
API keys
API keys give external systems programmatic access to your organisation's data.
- Give the key a name (e.g. "Production API") and click Create Key.
- Copy the key immediately — it's shown once and won't be displayed again.
- Store it somewhere safe, like your password manager.
Each key in the list shows when it was created and when it was last used ("Never used" if it hasn't been). To retire one, click the trash icon and confirm — any integration using that key stops working immediately.
An integration holding a key can't book around your availability rules. Bookings created through the API are checked against your blackout dates, seasonal closures, auto-blocked public holidays, booking cut-off, maximum booking length, opening hours, location capacity and any overlapping booking for the same pet. The API is in fact slightly stricter than the portal on one point: because the request carries exact times, a part-day blackout is matched against the requested hours, where the portal only applies whole-day blocks.
