Incidents and the Issues inbox

File incident reports, work the response playbook, and use the Issues page as your daily compliance sweep.

Two dashboard pages keep a daycare honest: Incident Reports for when something happens on the floor, and Issues for the daily sweep of things that need attention before they become problems.

Reporting an incident

Any staff member can file a report — no special role needed.

  1. Open the Incident Reports page and click Report Incident.
  2. Find the pet — search by pet or customer name.
  3. Choose a severity:
    • Minor — a scrape or brief scuffle; documentation only.
    • Moderate — a bite or a limp; may need vet assessment, contact the owner.
    • Serious — immediate action needed; vet referral and full documentation.
  4. Describe what happened, when and where — at least a sentence.
  5. Add the actions taken, and tick Vet referral required if a vet needs to see the dog.
  6. Submit the report.

The counters across the top of the page track Open, Under review, Resolved, Serious and Vet referrals for every incident on file, so a manager can see the state of play at a glance.

Sign-off and the response playbook

Only Managers and Admins can sign off incident reports — staff file them, leadership closes the loop.

The Response playbook is a collapsible reference at the bottom of the Incidents page: "What to do during an incident". It isn't tied to any one report — staff open it, pick the Minor, Moderate or Serious tab that matches what they're dealing with, and step through the advisory response steps. Worth pointing new starters at it on day one.

The Issues page: your daily sweep

The Issues page pulls every actionable item across pets and customers into one inbox — worth a look each morning before the doors open. Only Managers and Admins can see it.

Items land in three severities — Critical, Warning and Info — with counts up top and the list sorted critical-first. The five kinds of issue:

  • Vaccination Expired (critical) — the pet's vaccinations have lapsed; jumps straight to the pet's vaccinations section.
  • Vaccination Expiring (warning) — due soon; time to ask the owner for updated records.
  • Vaccination Missing (warning) — required vaccinations with no record on file.
  • Overdue Invoice (critical) — an unpaid invoice past its due date, with the amount and customer; jumps to the Payments invoice list already filtered to overdue.
  • Customer Alert — severity follows the alert itself; jumps to the customer's alerts section.

Every item deep-links to the exact record that fixes it, so the sweep is quick: open the page, work the criticals, clear the warnings. When there's nothing to chase, the page says so — "All clear".
