Shared devices and the staff app lock
Make the WagDay staff app lock itself when a shared phone or tablet sits idle, and cut off a lost device.
If your team shares a phone or tablet at the front desk or on the floor, the WagDay staff app can lock itself when nobody has used it for a while. The next person signs in as themselves, so every check-in, care task and incident report is recorded under the right name. There's no separate PIN: everyone signs in with their own WagDay login.
Turn on the lock
Only Admins and the Owner can change this setting, and it applies to every location.
- Go to Settings → Safety.
- In the Shared device lock card, choose After 5 minutes, After 10 minutes, After 15 minutes or After 30 minutes.
- Leave Allow Face ID or fingerprint unlock off unless each device belongs to one person (see below).
- Click Save.
The lock is Off by default. Leave it off only if each person uses their own device.
The staff app picks up a change straight away when it's next opened, and otherwise within about five minutes. If the app can't reach WagDay to check, it keeps the last setting it saw.
What staff see
When the app sits idle for the chosen time, it covers the screen with Staff app locked, so nobody walking past can read the previous person's screen. Moving between screens, tapping and typing all count as using the app. Time in the background counts towards the limit, so a device left in the staff room locks itself.
To carry on, tap Sign in and sign in with a work email and password. When the same person signs back in, the app returns to the screen they were on.
Face ID and fingerprint unlock
Face ID or a fingerprint reopens the previous person's session rather than signing someone new in. On a tablet where several people have enrolled a fingerprint, a colleague could unlock it and their work would be recorded under the previous person's name. So by default the lock screen offers only Sign in, and everyone signs back in with their own password.
If each device belongs to one person, turn on Allow Face ID or fingerprint unlock in the Shared device lock card. Devices with Face ID or a fingerprint set up then offer Unlock with Face ID or fingerprint, with Sign in with my password beneath it. If the staff app can't check the setting, it uses the last choice it saw, and asks for a password if it has never seen one.
Unsent work
Incident drafts, report card notes and photos waiting to upload stay on the device for the person who saved them. Someone else who signs in doesn't see them, and they're sent the next time their owner signs back in on that device.
Settings → Sign out in the staff app is different: it clears everything that person has on the device, including unsent work, after warning them how many items will be lost.
A lost or stolen device
- Stop its alerts: go to Settings → Users, click the phone icon on the person's row, then Revoke all (or revoke just that device). Alerts stop straight away. You can revoke devices for members below your own role.
- If the person should lose access altogether, remove them from the organisation with the trash icon on their row. WagDay refuses every request from a removed member, and their devices are removed automatically.
- To sign the lost device out while keeping the person on your team, contact WagDay support, who can end that device's sign-in.
Alerts never show a customer's name, a pet's name or health details, so a found device's lock screen gives very little away.
