Team roles and permissions

The four organisation roles in WagDay, what each tier unlocks, and how to invite, promote or remove team members.

Every member of your organisation has exactly one organisation role. Roles are cumulative — each tier can do everything the tiers below it can do, plus more.

The four organisation roles

From highest to lowest:

  • Owner — the top tier. The Owner can do everything, and the account is protected: it can't be demoted or removed from the team-management page.
  • Admin — full operational control: refunds, reports, and managing locations, staff, billing and organisation settings.
  • Manager — runs the day-to-day: cancelling and rescheduling bookings, viewing customers and payments, managing pens, and approving incident reports.
  • Staff — the front desk and floor: creating bookings, checking dogs in and out, updating pet profiles, logging activities and raising incident reports.

Inviting team members

Only Admins can open Settings → Users.

  1. Go to Settings → Users (the Team Members & Permissions page).
  2. Click Invite member.
  3. Enter the person's email address and choose a role — Admin, Manager or Staff (Staff is pre-selected). You can't invite someone as Owner.
  4. Click Send invitation. They receive an invitation to join your organisation.

Changing a role or removing a member

Still on Settings → Users, the Team Members list shows each person's name, email, current role and join date.

  1. Find the member in the list.
  2. Use the role dropdown on their row to switch them between Admin, Manager and Staff. The change takes effect straight away.
  3. To remove them from the organisation, click the trash icon on their row.

Two rows are protected: yours and the Owner's. You can't change your own role or remove yourself, and nobody can demote or remove the Owner — those rows simply show no action controls.

Custom role groups and site-scoped permissions

Below the member list, the Roles & Permissions section covers custom role groups and site-scoped permissions — named bundles of individual permissions that can be limited to particular locations, for organisations that need finer control than the four standard tiers. The page summarises how many custom roles exist, how many assignments are active, and how many scoped permissions those roles carry, followed by the most recent assignments.

Org roles vs staff records — two separate things

Don't confuse an organisation role with a staff record. They're managed in different places and do different jobs:

  • An organisation role (this article) controls what someone can see and do in WagDay.
  • A staff record links a team member to a location and carries their employment details: a position (Manager, Attendant, Trainer or Groomer), an hourly rate, an employment type (Full-time, Part-time or Casual), plus availability, leave and qualifications.

Staff records drive rostering, ratio tracking and timesheets — they're covered in Rostering, ratios and timesheets. Watch the naming overlap: a staff position of "Manager" is just a job title on the roster, not the Manager permission tier above.
