Locations, Opening Hours and Capacity
Set up each facility's address, timezone, opening hours and daily capacity, and see how they drive the bookings calendar.
Every facility you operate is a location in WagDay. Locations carry their own address, timezone, opening hours, capacity and tax settings, and they feed directly into what customers can book and what staff see on the calendar.
Where to manage locations
Open Facilities → Locations in the sidebar. The list shows every location with its address and photos. Select a location to open its detail page, which summarises:
- Capacity — the location's daily capacity
- Staff members — staff assigned to the location
- Total bookings — all bookings ever taken at the location
- Contact details (address, phone, email), opening hours and the staff roster
All staff can view locations. Only Admins can add or edit them — the Add Location and Edit buttons are hidden from other roles.
Add or edit a location
- Go to Facilities → Locations.
- Click Add Location (or open a location and click Edit).
- Fill in the details below and click Add Location / Save Changes.
The form covers:
- Name and Capacity (see below)
- Country, Address (with address autocomplete), Suburb, State and Postcode
- Timezone (Australian locations only — see below)
- Phone and Email
- Capacity thresholds, staffed capacity, tax, roster change notice, auto check-out and opening hours
Opening hours
Each day of the week has its own open/closed toggle and open/close times. Opening hours are enforced everywhere a booking is made:
- A booking cannot start before the day's opening time.
- A booking must end by the day's closing time.
- A booking cannot start or end on a closed day — the customer is told the facility is closed on that weekday. Multi-day bookings (boarding) check both the start day and the end day.
Opening hours also shade the bookings calendar: a weekday is marked closed when every location in the current view is closed that day. Filter the calendar to a single location and the shading re-computes from that location's hours alone.
Timezone: every time is facility-local
Each Australian location has its own timezone, chosen from a curated Australian list. It defaults from the state you pick, and you can override it (handy for border towns). It's used for the facility's day, weekday and daylight-saving calculations.
In practice this means the times staff and customers see are always local to the facility:
- The bookings calendar anchors to the location's timezone when a single location is filtered in. With multiple (or no) locations selected it falls back to the system default, Australian Eastern time.
- Booking dates in staff review surfaces (such as pending cancellation requests) are formatted in each booking's own facility timezone.
- Per-location cut-offs such as auto check-out times run on the location's clock.
How daily capacity works
Capacity is the maximum number of pets the location takes per day. On the bookings calendar, the day's total is the sum of capacities across the locations in the current view — all locations when unfiltered, or just the selected ones when you filter. Booked counts are measured against that total.
Two refinements sit on top of the raw number:
- Staffed capacity — on days with a published roster, bookable spots are also capped at rostered staff × the staff-to-pet ratio. Leave the ratio blank to inherit the organisation-wide default. Choose what happens when a booking would exceed the staffed cap: Hold for review (recommended) or Refuse booking.
- Capacity thresholds — control when the calendar shows a day as Limited or Almost full, as a percentage of the location's capacity. 100% booked always shows as Full. Leave the thresholds blank to use the system defaults.
Filter by location on the bookings dashboard
The filter bar on Bookings includes a location filter. Filtering by location:
- Narrows every bookings tab to that location.
- Re-computes the calendar's total capacity from the selected location(s) only.
- Anchors the calendar to the location's timezone when exactly one location is selected.
- Re-computes closed-day shading from the selected locations' opening hours.
Facility photos
Admins can attach photos to a location from its detail page, each with an optional caption. Photos appear in a grid on the location page, and the cover photo shows on booking cards across the Bookings views — a quick visual cue for which facility a booking belongs to.
Tax and cancellation settings per location
Each location carries its own tax configuration: Tax rate (%), Tax label (e.g. GST) and Tax mode — Inclusive (the price already includes tax) or Exclusive (tax is added at checkout). New locations pre-fill from your organisation's tax defaults, falling back to the country preset; your facility sets the final values.
Locations also store a cancellation notice period in hours. It's surfaced to staff on the booking when a cancellation is being processed, so everyone can see how much notice the location requires. For how charges apply inside that window, see No-show and late-cancel charges.
