Kennel Runs, Run Pricing and Sharing Waivers

Set private and shared nightly rates on kennel runs, assign boarding stays, and manage sharing waivers before pets from different households share a run.

Updated 2 Nov 2026

Kennel runs are the individual runs or suites boarding pets stay in. Open Facilities → Kennel Runs to see each run at a location for a chosen day, assign bookings to runs, and keep track of sharing waivers.

Managers and above configure runs and their rates. Staff assign and remove bookings, capture a waiver at the desk, and apply a held run price. A manager or above can record a waiver override. Only an owner or admin can change the sharing waiver setting.

Runs and their rates

Each run belongs to one location and has a name, an optional block (building or row), a capacity and a status. A run can also carry two optional nightly rates, per pet and GST-inclusive:

  • Private rate per night: what each pet pays when its household has the run to itself.
  • Shared rate per night: what each pet pays when its household agrees to share the run with other households. Only shared runs have one; without it, a shared stay pays the private rate.

Leave a rate empty to use the service's standard pricing. A run with no rates never changes a booking's price.

The rates are priced like any other nightly rule: one charge per booked night, with your seasons' multipliers and the better of the customer-type or membership discount applied. Changing a run's rates affects stays assigned from then on; stays already assigned keep the rate they were given.

Private and shared stays

When you assign a booking to a shared run, choose its stay:

  • Shared: the household agrees to share the run with other households.
  • Private: the household has the run to itself for the whole stay.

Stays in a run that isn't shared are always private. WagDay keeps households apart:

  • A run that isn't shared only ever holds one household's pets at a time.
  • A private stay can't be booked into a run where another household is booked for those dates, and no other household can join it.
  • Shared stays can only be joined by other shared stays.

Pets of the same household can always share a run, up to its capacity, without a waiver.

A booking is in one run at a time. To move it, remove it from its run and assign it to the new one.

How assigning changes the price

The assign dialog shows the price effect before you save, for example "Price $180.00 → $240.00 (run rate $80.00 per night, inc. GST)".

When a booking is assigned, WagDay works out what the run's rate adds to (or takes off) the booking's standard service price for the same nights, discounts and seasons, and adjusts the booking's total by that difference. Extras, transport, packages, membership days and vouchers stay as they were. Removing the booking from the run takes the difference off again.

The price only moves while nothing has happened to the booking's money. WagDay keeps the booked price when the booking:

  • has a paid deposit or any payment taken;
  • is on an invoice, or held for invoice reconciliation;
  • has a payment in progress (online checkout, a pay link or a terminal charge);
  • has a reschedule in progress;
  • is cancelled or finished.

The board then shows "Run price not applied" on the pet, with the difference, why the price can't change yet and what would let it. For example, a booking with a paid deposit keeps its booked price; collect the extra or refund the difference with your usual tools. The run price itself can only go on once nothing stops the change:

  • Invoiced: void the unpaid invoice, apply the run price, then invoice again. A credit note settles the difference but keeps the booked price.
  • Payment taken: only once every payment has been refunded in full.
  • Payment in progress: once the payment is cancelled. If it's paid, settle the difference instead.
  • Reschedule in progress: once the reschedule is finished.

When that happens, Apply run price appears on the pet and applies the rate the stay was given. A cancelled or finished booking never takes it.

If the standard pricing rules can't price a stay at the run's rate, the booking keeps its price and the board says so. Check the service's pricing rules, then choose Apply run price.

Removing a booking whose price can't change leaves the run's difference in its price. The remove dialog says how much stays and who is owed it, and asks you to confirm; WagDay records that the booked price was kept. Refund or credit the difference if the customer is owed it, or collect it if a cheaper run's discount stays on the booking. For a booking on an unpaid invoice, void the invoice first: the removal then takes the difference off. While a payment for the booking is in progress, wait for it to finish or be cancelled before removing the pet from its run.

Sharing waivers

When pets from different households share a run, each booking needs a signed sharing waiver before its pet is checked in. This is on by default. A waiver covers one booking's stay in one run, so moving runs needs a new one.

Your waiver wording

An owner or admin sets this up in Settings → Safety → Shared kennel runs:

  • Require a signed sharing waiver: on by default. Turn it off only if your facility doesn't need written consent for pets from different households to share.
  • Email customers when a waiver is needed: on by default. Turn it off if you collect waivers another way. Customers can still sign on the booking in the portal, and staff can still use Sign at desk. To change what the email says, edit the Sharing waiver needed template in Settings → Templates. WagDay adds the link to read and sign the waiver after your text, so customers can always sign.
  • Your sharing waiver wording: the text customers read and sign. WagDay does not provide legal wording; use your facility's own, reviewed for your state's requirements.

While waivers are required and no wording is saved, WagDay won't put pets from different households in the same run. Each signature keeps a copy of the exact wording signed. If you change the wording, new signers agree to the new version and existing signatures stand.

Getting a waiver signed

  • In the portal: the customer sees a Shared kennel run card on the booking, reads your wording, types their full name and agrees. Customers can sign as soon as a stay is booked as shared.
  • At the desk: on the Kennel Runs board, choose Sign at desk on the pet and hand the device to the customer to read, type their name and agree. WagDay records which staff member captured it.
  • Manager override: if a stay must go ahead without the customer's signature, for example because the owner signed your paper form, a manager can choose Override and give a reason. The override, who made it and when are recorded.

While Email customers when a waiver is needed is on, assigning a stay that puts a pet beside another household's pet emails each customer whose waiver is still needed, once for each booking and run, with a link to the Shared kennel run card. The same email goes out when staff bring a booking whose payment hold had lapsed back into a shared run (by approving it, recording a cash, bank transfer or other manual payment on its invoice, confirming it into a full day or applying a voucher). It also goes out when you save with waivers required, your wording saved and the email on, after one of them was off, while pets are already booked to share. Nothing is sent for a stay that is already signed or overridden, under way, finished or cancelled, or while no waiver wording is saved, and customers who turned email notifications off aren't emailed. Moving a pet to another run can send one more email, because that run needs its own waiver. A card payment, on a desk reader or online (in the customer's portal or a deposit checkout you open from the booking), or a portal voucher, doesn't send it: the customer is with you or on the booking, so use Sign at desk or ask them to sign on the card. While the email is off, nothing is sent, and the check-in gate still asks for each waiver.

The board shows Waiver needed, Waiver signed or Waiver overridden on each pet, and a count of waivers still needed on each run. Sign at desk is offered on every shared stay without a signature, and Override on every shared stay with neither a signature nor an override, so a waiver can be sorted out before another household joins.

In the portal, customers are asked to sign only while the pet is still to arrive. Once a stay is under way, finished or cancelled, the card shows only what was signed. A stay a manager overrode tells the customer it can go ahead, and they can still sign.

The check-in gate

Check-in is refused while a pet shares its run with another household and its waiver is neither signed nor overridden. The message explains how to resolve it. This applies to check-in from the dashboard, the front desk, the scanner and the Staff app.

WagDay also won't put a pet in a run beside a checked-in pet from another household unless that pet's waiver is signed or overridden.

When occupants change

Waivers follow who is actually in the run. If the other household's booking is cancelled, marked as a no-show or removed from the run, no waiver is needed any more. Signed waivers and overrides are kept as a record and are never changed.

Privacy

A customer's own signed waivers are included when they request a copy of their data. If a customer's data is erased, their name is removed from their waivers and any override reason is redacted, while the record that a waiver existed is kept.
