Your dog's profile
Keep your dog's details, vaccination certificates and desexing status current — what the daycare needs, why they need it, and how to update it.
Every dog has a profile in the portal. Keeping it current is the single best thing you can do for smooth drop-offs — out-of-date details are the number one cause of hold-ups at reception.
What's on the profile
- Basics: name, breed, gender and date of birth.
- Care info: notes, dietary needs and allergies, and care instructions — yours to edit any time.
- Vet details and vaccination certificates.
- Medications and feeding schedules — these are set by the facility, so ask the daycare if they need changing.
To update your side of things, open Pets, find your dog, and tap Edit pet. Your daycare can also add its own questions to the profile, so don't be surprised if yours has a few extra fields to fill in. If more than one of your dogs is enrolled, each has their own profile.
One thing worth knowing: when you save, the portal reminds you that staff will see the changes at their next review. For anything urgent — a new medication, a sudden allergy — call the facility directly rather than relying on the profile update.
Vaccination certificates
Daycares are required to keep current vaccination records for every dog in their care — it's for your dog's safety as much as anyone's. An expired certificate can mean your dog can't attend until it's updated, so it's worth staying ahead of.
You can do this on the website or in the WagDay app — Uploading a vaccination certificate from the app covers the app version, including photographing the certificate with your phone.
To add a new certificate on the website:
- Open Pets and find your dog's profile.
- Tap Add vaccination.
- Fill in the vaccine type (distemper, hepatitis, parvovirus, kennel cough or other), the vaccine name, the date given and the valid until date, exactly as the certificate shows. Your vet's name is optional.
- Attach the certificate file — a PDF, JPEG, PNG or WebP, up to 10 MB. A clear photo from your phone or the PDF from your vet's email both work.
- Tap Submit for review.
What happens after you upload
Your certificate goes to the daycare as pending review — staff check it, then mark it verified or reject it. Each vaccination on your dog's profile shows its status: the expiry date, plus Pending review or Rejected where it applies.
- Pending review: nothing to do — the profile shows "Awaiting facility review" and the facility will get to it.
- Rejected: usually a blurry photo, a date that doesn't match, or the wrong document. Use the "re-upload a valid certificate" prompt on the profile to send a fresh copy.
- Expiring soon: the profile warns you before a required vaccination lapses, so there's time to see the vet. Upload the new certificate the same day, while it's handy.
If the portal shows a vaccination as expired but you're sure it's current, it's usually a typo in the dates or an older certificate on file — upload the latest one and it sorts itself out once reviewed.
Assessments
Some facilities ask for a behaviour assessment before a dog joins daycare. If yours does, your dog's profile shows a badge — Assessment required, Assessment pending or Assessment passed — and the booking flow lets you know if an assessment is needed before daycare can be booked. Assessments are arranged by the facility, so give them a call to set one up.
Desexing status
Many daycares require dogs over a certain age to be desexed for group play. The facility keeps your dog's desexing status on file — if it changes, let them know, since it can affect which groups your dog joins.
The notes field is your friend
"Doesn't like the blow dryer", "will climb fences if bored", "needs lunch at 12 sharp" — the staff genuinely read these. A good note is the difference between an okay day and a great day for your dog.
